Access and Security
Names badges will be provided to all delegates and participants at the Registration/Check-in Desk. The badge is your admission pass to all Annual Meeting sessions and the exhibit areas. Delegates are required to wear their name badge at all times and will not be granted access to the conference without them to ensure that access to the conference is properly managed.

The Annual Meeting Registration/Check-in Desk is located in Glasfoyer and will be open during the following times:

Wi-Fi and Meeting App
Wi-Fi is available through the venue and can be accessed under the username “Mevent”; the password is “htai2019”. Download the “HTAi Annual Meeting 2019” app for the full Annual Meeting experience! Speaker Ready-Room/Slide Centre
The Speaker Ready-Room/Slide Centre is located in Loreley on the conference floor 2. Speakers are asked to load their slides in the Slides Centre at least two hours before their presentation (or by 18:00 the previous day if their session starts at 08:00). It is strongly recommended that presenters use only the presentation laptop provided in the conference rooms.

The Slide Centre will be open at the following times:

Conference Rooms
After a session ends, we ask that you vacate the meeting rooms promptly to allow the next sessions and presentations can begin on time.

 

Exhibitor Booths
Exhibitor booths consist of our for-profit and not-for-profit partners and sponsors. Please take some time to interact with them to get to know their organization and the initiatives they are exploring.

This year, attendees will find an Exhibitor Card at the back of the printed program. Fill your Exhibitor Card with stickers/stamps from at least 10 of the 22 exhibitors and submit your card to the HTAi Info Desk before the start of Plenary 3 on June 19 to enter to win a $500 Visa prepaid card. Please ensure you are available on the final day, June 19, to accept the prize in person.

Meet & Greet Area:
The Meet & Greet Area is a dedicated space in the Glasfoyer at the Maritim for HTAi partners and Interest Groups to present and introduce themselves to potential new members. This area will also offer short presentations, a screen to browse through all accepted posters, and provide a platform for people to meet and discuss hot topics in HTA as well as the conference program. Delegates are asked to provide their discussion topic suggestions to the Euroscan booth onsite. Delegates will be informed about the discussion and presentation topic schedule via announcements at the Meet and Greet area.

 

Virtual Conference Bags
HTAi has made a commitment to try to reduce our carbon footprint while optimizing communication channels for meeting delegates, and the use of a virtual conference bag helps us achieve these goals. Each virtual conference bag contains important information about the Annual Meeting, as well as messages from our partners. This format allows us to reduce our reliance on print paper materials and physical conference bags. We also invite delegates to show your support by recycling your badges and lanyards at the end of the conference. Recycling receptacles will be located at the Info Desk.

Evening at Museum Ludwig

On behalf of a local partner, we are pleased to invite all HTAi participants and their accompanying persons to an evening at Museum Ludwig, one of the most celebrated museums for art of the twentieth and twenty-first centuries worldwide. Doors open at 18:00 and you can walk through the museum, free of charge, until 23:00. Please bring your name badge with you in order to gain entrance. We ask you to register your attendance in advance by booking the tour here.

Gala Dinner (2-3 hour river cruise)

19:00 – late, departure from the dock at 20:00, return time is approximately 23:00

A river cruise on the Rhine is the perfect opportunity to celebrate and converse with colleagues and friends from around the world. Feast on a three-course dinner and all-inclusive drinks while taking in the spectacular views of Cologne and the surrounding landscapes and cities. Wrap up the evening with music and dancing on board the ship. This will be a night to remember.
